Terms & Conditions of Membership
By proceeding with the registration process for membership of Dorset Chamber (the Chamber), you agree to be bound by these terms and conditions.
These terms and conditions will apply for the duration of your membership of the Chamber, or to any event or training session you attend, and you should read them carefully. By applying for, renewing or continuing your membership of the Chamber, or by booking on to one of our events or training sessions, you will be deemed to have accepted these terms.
We reserve the right to amend these terms from time to time without notice to you.
1 Parties
These terms and conditions form the basis of the legal relationship between a member (or a non-member user of our services) and the Chamber. Use of the expressions “we”, “us” and “our” in these terms refers to the Chamber. References to “you” and “your” refer to members of the Chamber, or to delegates attending our events or training sessions where applicable.
2 Membership & Application Process
2.1 Membership of the Chamber is open to any of the following, regardless of their size or location: business either public or private; or individuals in a business environment; or educational establishments; or Charities and not-for-profit organisations.
2.2 We offer a range of different types of membership packages, details of which are displayed on our website and are updated from time to time.
2.3 Applications for membership (Application(s)) are made by:
2.3.1 Contacting our membership team on 01202 714800, or emailing contact@dorsetchamber.co.uk or completing our online membership application form
2.3.2 Paying the Annual Subscription (clause 3)
2.4 You warrant to us that all information provided in your Application is true & accurate in all material respects
2.5 We will consider your Application and inform you whether your Application is approved as soon as practicable. In the rare instance that we refuse to approve an Application, any Annual Subscription paid will be refunded to you.
3 Annual Subscriptions
3.1 You agree to commit to pay an annual fee (Annual Subscription) to the Chamber, the sum of which is set by the Chamber. Annual Subscriptions are reviewed on annual basis.
3.2 You agree to make payment(s) which is equal to the Annual Subscription on the date that you make an application to become a member of the Chamber. This may also be through monthly, quarterly or annual direct debits.
3.3 Annual Subscriptions are set to reflect a level of service provided within a particular package. The Chamber reserves the right to amend its membership package and pricing structure from time to time.
3.4 We accept payment of the Annual Subscription by bank transfer, by card payment or by direct debit.
3.4.1 If you have chosen to pay by bank transfer or card payment, the Annual Subscription must be paid to us in full when submitting your Application.
3.4.2 If you have chosen to pay by direct debit, you can either pay the Annual Subscription in full when submitting your Application, or, you can pay the Annual Subscription, monthly in advance, by monthly instalments, thereby spreading payment over the course of 12 months. Monthly direct debit payments will be due on the first day of each month
3.5 If the Annual Subscription is not paid in accordance with this clause 3, we shall have the right to terminate your membership in accordance with clause 5.
3.6 The Annual Subscription is non-refundable & non-transferrable, even if paid by direct debit
4 Membership Duration
4.1 Chamber membership is for a period of 12 months, commencing on the date on which your application is approved by us (Initial Term), unless terminated sooner in accordance with clause 5.
4.2 Your membership will automatically renew for a further period of 12 months unless terminated in accordance with clause 5 (Renewed Term), and you will be liable for the then-current Annual Subscription for the Renewed Term. If you pay your Annual Subscription by direct debit, your payments will continue in the usual way for the Renewed Term. If you do not pay by direct debit, we will provide you with an invoice in respect of the Renewed Term.
4.3 If you have chosen to pay your Annual Subscription by monthly direct debit and you:
4.3.1 miss an instalment; or
4.3.2 cancel your direct debit mid-way through the Initial Term or any Renewed Term; or
4.3.3 your membership is terminated mid-way through the Initial Term or any Renewed Term for any reason; the full outstanding balance of the Annual Subscription shall become immediately due and payable.
5 Termination
5.1 Should you wish to cancel your membership; you may do so at the anniversary of your joining date (or agreed expiry date). This can be served, at any time by providing you give us no less than 1 month written notice (such notice to expire at the end of the Initial Term or Renewed Term). The annual subscription shall be be due in full
5.2 You can send your notice to terminate to us by email at contact@dorsetchamber.co.uk and we will use our reasonable endeavours to acknowledge such notice within seven days of receipt.
5.3 Unless such notice is properly given, any subscription for the subsequent year of membership is payable in full. You will not be entitled to any refund, either in full or part, of any annual subscription that you have paid.
5.4 The Chamber will be entitled to cancel your membership if:
5.4.1 any fee including but not limited to the annual subscription fees remain unpaid for a period of 1 month from the payment due date;
5.4.2 you stop carrying on all or a material part of your business, suspend, or threaten to suspend, payment of your debts, are unable to pay your debts as they fall due, or (being a company or limited liability partnership) are deemed unable to pay your debts within the meaning of section 123 of the Insolvency Act 1986 (IA 1986) (or the Chamber reasonably believes that to be the case), or (being an individual sole trader) are deemed either unable to pay your debts or as having no reasonable prospect of so doing, in either case, within the meaning of section 268 of the IA 1986, or (being a partnership) has any partner to whom any of the foregoing apply;
5.4.3 the renewal of the membership is refused by the Chamber;
5.4.4 you (in the reasonable opinion of the Chamber) behave inappropriately towards other members or towards the Chamber (or any of its employees or representatives);
5.4.5 you (in the reasonable opinion of the Chamber) bring the Chamber into disrepute;
5.4.6 the Chamber discover that you made material misrepresentations in your membership application;
5.4.7 you materially breach these terms and conditions
6 Consequences of Termination
Following termination of your membership in accordance with clause 5:
6.1 You must immediately cease holding yourself out as a member of the Chamber; and
6.2 Any international documents purchased in bulk from us at a preferential rate, but unused, shall be chargeable at the full rate, and we shall render an invoice in respect of the additional sum due, which shall be payable within 28 days, unless we expressly otherwise agree with you in writing.
7 Business Between Members
7.1 We want to build a supportive and engaging network for our members and encourage them wherever appropriate to conduct business with each other.
7.2 If a member purchases a service or product or takes advice or assistance from another member, or an organisation they have been introduced to by the Chamber, the Chamber shall be held harmless by you in respect of any such transaction or trade and shall not be held liable for any such service or product received or acquired. Furthermore, the Chamber does not warrant the quality or suitability of, or accept any liability, for any such service or product sold or the advice or assistance provided whatsoever.
7.3 Members shall not send unsolicited emails or correspondence of any kind (“spam”) to other members. Correspondence may be considered spam if it is not addressed to the intended recipient and/or if the content of the correspondence is not relevant to the intended recipient. Any member who breaches this clause may have their membership terminated in accordance with clause 5.
8 Events and Training
8.1 We run a variety of online & in person events (Events) and training courses (Training). Members and non-members are welcome to attend our Events and Training, unless expressly stated otherwise. We will publish a calendar of our available Events and Training on our website, setting out a brief description of the Event and Training along with the cost of attending.
8.2 All events and training must be booked and – where there is a charge incurred – paid for in advance. We refuse the right to entry to an Event if payment has not been received in accordance with this clause 8.2.
8.3 Refunds for events and training will be given in accordance with our refunds policy in force from time to time.
8.4 If you book a place at a free Event or Training and you do not attend, we reserve the right to charge an administration fee of £10.00 + VAT per delegate.
8.5 The Chamber will notify members of the number of tickets entitled to them within their membership package where restrictions are implemented. The Chamber reserves the right to amend this entitlement.
8.6 In some circumstances we may be required to cancel an Event or Training. We shall give all delegates as much notice of any cancellation as we are reasonably able to do, and shall endeavour where appropriate to rearrange the Event on another date.
8.7 If we cancel an Event or Training, we shall refund you booking fees paid as soon as reasonably practicable following the cancellation.
8.8 We accept no liability for any expenses or losses (including by not limited to pre-booked travel or hotel expenses) you may incur as a result of a cancelled or postponed Event or Training.
8.9 We encourage delegates to review our privacy policy (Member Data Clause) which sets out how we gather and use your personal information when attending our Events, including photography.
9 Partnership packages
9.1 We can build bespoke partnership packages for those members who wish to deepen their relationship with the Chamber. Our team will work with you to tailor the package based on your strategic goals.
9.2 The details of the partnership packages (including fees) shall be agreed with us prior to commencement, and set out in a separate corporate partnership agreement which should be read in conjunction with these terms and conditions.
9.3 Unless we expressly agree otherwise in writing, the fees for corporate packages are due within 14 days of the date of our invoice in respect of the same.
9.4 If a Partner’s membership is terminated in accordance with clause 5.4, and at the date of termination we have not provided all of the agreed services under the corporate package, then we may at our sole discretion offer a partial refund of the corporate partnership package fee reflecting those services which have not been provided by the Chamber as at the termination date (less any reasonable administration expenses we have incurred). For the avoidance of doubt, any such refund shall be at the absolute discretion of the Chamber.
General Provisions
Groups of Companies
Where a company that forms part of a group of companies successfully applies for membership, this does not entitle any parent or subsidiary of the company, or other subsidiary of any such parent to become a member. Each company within such a group shall be required to apply separately for membership or pay an appropriate fee as agreed by the Chamber.
Member Data
We take the privacy of our members and all visitors seriously. Details of how we collect, store and use your personal information is set out in our Privacy Policy available via our website. Member details are stored electronically in the Chamber’s client management system. You consent to the Chamber publishing the generic member details within its publications, both electronic and printed. You also consent to this data (not including e-mail addresses) being shared with other members by electronic means.
Third parties
No rights are conferred on any person who is not a party to these terms and conditions.
Severance
Each provision contained in these terms and conditions shall be severable from any other provisions, and if any part of any provision shall be found to be invalid, illegal or void for any reason, such invalidity, illegality or void shall not affect any other part of such provision or any other provision contained in these terms and conditions which shall continue to have full force and effect.
Entire agreement
These terms and conditions constitute the entire agreement between the parties and supersede all prior agreements, negotiations, representations and proposals, whether written or oral, concerning the subject matter of these terms and conditions.
Governing law
These terms and conditions shall be construed in accordance with the laws of England and the parties hereby submit to the exclusive jurisdiction of the English Courts.
Assignment
You shall not assign any of your rights or obligations under these terms and conditions without our prior written consent. We shall have the right to assign or otherwise delegate all or any of our rights or obligations under these terms and conditions upon notification to you.
Code of membership
Members are expected to uphold our ‘Diversity, Equity and Inclusivity Policy’ which is available to view via our website.
Errors and Omissions Excepted
Every care is taken to ensure that all information within the Chamber publications including the website, electronic communications and social networks, is correct. However, there may still be errors and we apologise for any inconvenience that this may cause. If you find an error or omission, please let us know, and we will use our reasonable endeavours to correct it as soon as possible after verification.
Other services
From time to time, we may offer additional products and services, including consultancy services, details of which shall be set out on our website. All services offered will be subject to these terms and conditions, together with any additional documentation we may agree with you relating to those services. We shall perform all services in good faith.
Force Majeure
Neither we nor you shall be in breach of any obligation under this agreement, nor liable for any delay in performing any obligation, if such delay or failure results from events, circumstances beyond its reasonable control. In such circumstances, the time for performance shall be extended by a period equivalent to the period during which performance of the obligation has been delayed or failed to be performed.
Disclaimer
The Chamber gives you no warranty or assurance about any recommendations or referrals we make in respect of third parties and the services they supply. You should satisfy yourself as to the suitability of any such third parties and the services they supply for your purposes. All implied warranties and conditions are excluded, to the maximum extent permitted by law. The Chamber only provides you with such recommendations and referrals on the basis that all representations, warranties, conditions and other terms are excluded to the maximum extent permitted by law (including, without limitation, the conditions implied by law of satisfactory quality, fitness for purpose and the use of reasonable care and skill which, but for this legal notice, might have effect in relation to any referral or recommendation).

2. The data we collect about you
Personal data, or personal information, means any information about an individual from which that person can be identified. It does not include data where the identity has been removed (anonymous data).
We may collect, use, store and transfer different kinds of personal data about you which we have grouped together as follows:
- Identity Data includes first name, maiden name, last name, username or similar identifier, marital status, title, date of birth and gender.

If you fail to provide personal data

4. How we use your personal data
We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:
- Where we need to perform the contract we are about to enter into or have entered into with you (e.g. if you become a member).
- Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests.
- Where we need to comply with a legal or regulatory obligation.
- Customer administration, account management and the running of our business and services (e.g. events, accounting, etc.)
5. Purposes for which we will use your personal data
We have set out in this section, details of the different circumstances by which we process your data, and why it is lawful for us to do so. We have also identified what our legitimate interests are where appropriate. References to the types of data we collect and process reflect those set out in section 2 above.
Visitors to our website
Where we collect personal data via our website, we will be upfront about it, and it will be obvious to you that you’re providing personal data and how we will be using it.
If you simply visit our website, we may use data analytics and other technical and usage information to understand how visitors use our website, to keep our website updated and relevant and to inform our marketing strategies. We may also, where required, use this information to protect our website or services from attacks, fraudulent behaviour and other cyber security risks.

New and existing members
If you register as a new member, we will process identity, contact, financial, transaction and communications information, for the purposes of setting up your membership.
We may also use this information for the purposes of communicating details about your membership and the general running of our services (e.g. our legitimate interest to recover debts due to us, to notify you of changes in our membership terms, etc.).
If you contact us
Depending on the nature of your contact, we may record your identity and contact information if you contact us.
If you contact us by email, we will store your email and its contents within our email service. Your email will also be downloaded by the relevant member of staff and stored on their device in their email program.
These details may also be recorded against your membership information in our members management system, if relevant, and you’re a member.
If you contact us via telephone, we may take notes of our conversation and store these within our members management system.
If you partake in a prize draw or competition
We will process your identity, contact, profile, usage and communications data to enable us to run the prize draw or competition when you enter. Any competition specific information you provide will be used for the sole purpose of running the prize draw or competition, unless you have consented otherwise.
If you partake in a survey
From time to time we may ask our members and other contacts to participate in a survey about the Chamber and our services. Completion of such surveys will generally be optional, and in most cases the data collected will be anonymised, but where the information provided is considered your personal data we will only process it for the purposes of analysis survey results, getting in touch with you based on your comments in the survey, or if you consent to us using the information for other purposes (e.g. to publish your comments publicly, such as reviews and testimonials).
Marketing
We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising.
- Promotional offers from us
We may use your Identity, Contact, Technical, Usage and Profile Data to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).
You will receive marketing communications from us if you have requested information from us or purchased goods or services from us or if you provided us with your details when you entered a competition or registered for a promotion and, in each case, you have not opted out of receiving that marketing and it is lawful for us to send you the information.
- Third-party marketing
We will get your express opt-in consent before we share your personal data with any company outside the Dorset Chamber for marketing purposes.
- Our use of social media
As well as posting updates and information about the Chamber to our social media channels, in some circumstances we may contact you directly via these social media channels if it is appropriate and lawful for us to do so. For example, we may collect contact information from your LinkedIn profile for the purposes of asking you to consider becoming a member.
You can ask us or third parties to stop sending you marketing messages at any time by contacting us, or if you’re a member, logging into the website and checking or unchecking relevant boxes to adjust your marketing preferences or by following the opt-out links on any marketing message sent to you or by contacting us at any time.
If you apply to work at Dorset Chamber
If you apply for a position to work or volunteer at the Chamber, we will collect the minimal amount of identity and contact information, as well as role specific information (e.g. your CV) for the purposes of assessing you as a candidate for the role.
If you go on to become an employee this information will be added to your employee file and processed in accordance with our employee privacy policy.
If you are unsuccessful, we may seek your consent to keep your information for up to a year for the purposes of considering you for future positions. Otherwise, we will delete your information after 3 months, unless it is lawful for us to retain it longer.
If you are a supplier or contractor
If you are one of our suppliers or contractors, we will collect the minimal information about you and your services as required to make use of your services and deal with invoices and payments for your services. Such information will be stored within our accounting package for the purposes of our accounts and will be retained accordingly.
Individual employees within our business may also retain your contact details within their email application or via business cards that you may provide to us.
Special projects
In some circumstances we may carry out special projects, either of our own or of our partners (e.g. the local authorities, BCC, etc.) In such circumstances we may provide you with an addendum to this privacy policy which sets out any specific data processing activities which occur, as required by the project. Otherwise, your data will be processed in accordance with this privacy policy.
Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to get an explanation as to how the processing for the new purpose is compatible with the original purpose, please contact us.
If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.
Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
6. Disclosures of your personal data
We may have to share your personal data with the parties set out below for the purposes set out in the table in paragraph 4 above.
- Third party service providers whom we use for the purposes of effectively running our business and providing our services. This may include online services as well as third-party companies such as accountants, HR support, etc.
- Third parties to whom we may choose to sell, transfer, or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal data in the same way as set out in this privacy notice.
We require all third parties to respect the security of your personal data and to treat it in accordance with the law. As such we will always carry out due diligence and ensure there is a legally binding contract (sometimes called a Data Processing Agreement or DPA) in place.
We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions. Furthermore, in all cases where we are using a third-party service or company, we will only provide the minimal amount of information for the purposes of delivering the service to us and to meet our requirements.
The British Chambers of Commerce.
The Chamber is also part of a network of 53 Chambers of Commerce across the UK accredited by the British Chambers of Commerce (BCC). One purpose of the Chamber is to “influence the function of …any governmental body”. We will provide BCC with your company’s email address in order for BCC to conduct research into the impact of policies on your business.
What does the BCC do with your data?
BCC will not contact your business for any other purpose other than to notify you of an opportunity to respond to a national policy survey. Each year, BCC conducts around five surveys which directly help us develop and shape Government policy across a range of areas, including business taxation, international trade, and employment. The data from these surveys are completely anonymised and aggregated so that individual responses cannot be identified. The anonymised data are then presented in closed briefings with stakeholders across UK Government, and shared publicly through BCC’s press team. The purpose of carrying out the surveys is to produce reports, which BCC and the Chambers can then use in their activities in promoting and protecting the interests of UK businesses; in other words, they are part and parcel of the function and purpose of BCC and the Chamber. There is never any marketing or commercial purpose to the surveys, and BCC does not carry out surveys on behalf of any third party.
You can contact us if you do not wish to be contacted by BCC, and you will have the opportunity to unsubscribe from BCC’s research mailing list at any point
7. International transfers
Except where we may use a non-UK external third-party to provide services to us, we do not transfer your personal data outside the UK, unless there are appropriate safeguards in place to protect your information.
8. Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third parties who have a business need to know. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
9. Data retention
How long will you use my personal data for?
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.
By law we have to keep basic information about our members (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for HMRC purposes.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes in which case we may use this information indefinitely without further notice to you.

No fee usually required
You will not have to pay a fee to access your personal data (or to exercise any of the other rights). However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.
What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
Time limit to respond
We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you and keep you updated.

Lawful Basis
Legitimate Interest means the interest of our business in conducting and managing our business to enable us to give you the best service/product and the best and most secure experience. We make sure we consider and balance any potential impact on you (both positive and negative) and your rights before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law). You can obtain further information about how we assess our legitimate interests against any potential impact on you in respect of specific activities by contacting us.
Performance of Contract means processing your data where it is necessary for the performance of a contract to which you are a party or to take steps at your request before entering into such a contract.
Comply with a legal or regulatory obligation means processing your personal data where it is necessary for compliance with a legal or regulatory obligation that we are subject to.

- Service providers acting as processors who provide IT and system administration services.
- Professional advisers acting as processors or joint controllers including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accounting services.
- HM Revenue & Customs, regulators and other authorities acting as processors or joint controllers based in the United Kingdom who require reporting of processing activities in certain circumstances.
Your Legal Rights
You have the right to:
Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.
Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the datas accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.
Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine- readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.
