Updates to Certificates of Origin and EUR1s

Please note that all documentation now requires to have an Invoice number/s and invoice date. Either in box 6 (description) of a certificate of origin or box 8 (description) or box 10 on an EUR1.

As per above update.  The as per invoice statement will be automatically using the new fields for invoice number and invoice date. Please remove any free typed statement used in the description as this will be duplicated and will be rejected to remove. (Option 1).

Alternatively you can keep the hand typed statements but you will need to select the bypass box. (Option 2)

Note on eCert box 6 is split into 3 sections. Marks and Numbers, Description of Goods and Free Text.

Box 6 (Marks and Numbers) – This must only contain information relating to markings on the outside of your shipment. Unique identifiable marks to the shipment. If the goods have no marks please put ‘NO MARKS’ if they just have an address label please put ‘AS ADDRESSED’. If you need specific wording, order number or marks on your boxes then this can go here but must also be referenced on your supporting evidence. If you currently put the PO number in here but not on your boxes this should be moved to box 6 (Description of Goods) and repalced with As Addressesd.

Box 6 (Description of Goods) – Your description of goods needs to be easily recognisable to anyone and have enough information to accurately descript the goods. Words like ‘machinery’ are too vague and the type of machinery is now needed.

Box 7 – Please only fill in the cube weight if this is shown on your supporting documents. If you only have dimensions, please remove the cube from box 7, this is an optional field. Gross weight is the only mandatory field.

Note:  If your COO is lost, destroyed or there are multiple errors on it then you need to apply for replacement certificate, this must contain specific wording in box 5, there is a template on the eCert platform and needs to reference the originally issued COO. We can provide you with these details if unknown

Please see below notes regarding new requirements on ALL certificates of origin applications effective immediately.

Box 4 (Transport details)
This box is optional; you do not have to put anything in it. However, if you do it should only be Air, Sea, Road or Mixed Transport. This wording must also then appear on your supporting documentation.

Box 5 (Remarks)
Issued Retrospectively is now only required when applying for an EUR1 and only when the goods have left the UK, you no longer are required to include this on a Certificate of Origin.

Box 6 (Description of the goods)
It is now a requirement to include the type of packaging you are sending your goods out in. This needs to be specific, the wording packs, packages and consignments are not accepted. You need to use the actual type e.g. boxes, pallets, cartons etc and this must also be shown word for word on your supporting documentation (invoice, packing list etc.) If we are not certifying your supporting document, this can be handwritten on. Please contact the team if the above is not able to be done and we will try to find an acceptable solution for you.

Regarding all other information on the certificate, best practice is to follow the rule, if it isn’t on your supporting documents then it cannot be on the certificate and all wording needs to be word for word the same. The only box which can vary is box 6 (description of goods) where you can have a general description of goods followed by the statement ‘as per invoice xxxxx dated xx/xx/xxxx”.
